Starting point

An academic hospital has kilometres of central archive space with dormant files, plus dozens of outpatient clinics with active files that must remain retrievable at any moment. The information is confidential and retention obligations can run up to 115 years. A file that cannot be found during scanning is not acceptable.

Approach

  • Specially trained staff worked on site on preparation and scanning.
  • Raw scans were processed on 2dA servers through highly secured connections.
  • From intake to return, every file was traceable and retrievable at each step.
  • A control application developed by 2dA brought the data to 99.91% accuracy.

  • About 1 million full-colour pages per month
  • 99.91% accuracy
  • 100% traceability for every individual document
  • Total assignment: 10 million full-colour pages
  • Department-level break-even within roughly four months according to the project lead at the time
